Role - Facilities Manager (commercial property)
Location - London (West End)
Salary - £40,000 - £50,000 (DOE) + benefits
Responsible for the smooth and efficient management and operation of a number of multi-let buildings within the firm's London and regional portfolio.
The role / responcibilities -
Operational -
- To be responsible for the provision of a first-class holistic Facilities management to the buildings within the portfolio.
- Proactive management of all site-based documents (site handbooks/procedures etc) updating as services/processes change.
- To work closely with the Property / Asset Managers to ensure a coordinated approach to management and smooth delivery of any building-based projects.
- Establishing programs and managing preventative maintenance, consulting with Service Partners, conducting building inspections and reviews and regularly reporting to the Head of FM.
- Overseeing the implementation and management of lifecycle plans for each managed property and ensuring they are adhered to and budgeted for in conjunction with the site team and the M&E/Fabric contractor /consultant.
- Engage with all stakeholders in the properties (clients, occupiers, suppliers) to develop key relationships.
- Meeting regularly with occupiers with a view to developing and maintaining good positive relationships at all times.
- Ensure that you make yourself available in genuine out of hours emergencies to ensure a professional response to building tenants at all times.
Accounting -
- Approving invoices for services and monitoring expenditure regularly to ensure the service charge budget is adhered to wheerever possible, and keeping the Property / Asset Manager aware of variances.
- Managing expenditure levels during the year and assisting with the year-end reconciliation.
- To draft annual Service Charge Budgets in conjunction with the Property / Asset Manager utilising the firm's template budget.
- Undertake quarterly cost reviews and liaise with the Property / Asset Managers as required to effectively manage the agreed budgets.
Contractor Management -
Ensure proactive management of all supplier contracts and attend quarterly supplier review meetings. To proactively use the eLogbook’s helpdesk & database for the management of all FM activity.
Health and Safety -
- Ensure all your properties fully comply with Health and Safety and Legislative requirements.
- Ensure all Risk Assessment/Method Statement documentation is reviewed and ensure all risks are appropriately managed via the H&S platform.
- Proactively manage contractors and suppliers for properties under your responsibility, ensuring all work carried out is in accordance with statutory legislation.
Sustainability -
- Ensure all your managed properties fully comply with Legislative requirements.
- In conjunction with site teams and M&E contractors/Consultants actively reduce utility consumption.
- Ensure the smooth operation of all routine utilities management such as meter reads are taken in a timely manner and to work with the M&E contractors/consultants and Utilities consultant to resolve any queries/discrepancies in a timely manner.
Qualifications, Knowledge, and Experience -
- Minimum of 5 years’ experience in a similar role within Property Management, Facilities Management, or similar environment.
- NEBOSH/IOSH qualified and IWIFM Membership.
- Experience of managing FM Services within a large mixed-use development.
- Excellent organisational and communication skills.
- Strong commercial management skills, proven experience of creating and managing budgets, and service charge accounting experience.
- A high level of competence with computer and IT systems, including the use of internet-based databases.
- A good understanding of the legal arrangement of the Landlord / Tenant relationship as it relates to commercial property.
- Demonstrate a high-level understanding of building services.
- Proven experience dealing with Service Partners or contractual relationships in a commercial environment.
- Demonstrate a good working knowledge of Health & Safety Law, regulation, and good practice, including Fire Safety.
- Proven FM experience of managing multi-site portfolios. Focus towards delivering a first-class FM solution.
